Replacing a 14-sheet inventory spreadsheet

Problem

Stock was tracked across fourteen linked Excel files maintained by three people. Reconciliation took two days a month and purchase decisions were made on numbers that were always a week stale.

What we did

Built a web-based inventory and purchase system with barcode entry, role-based access and automatic reorder alerts. Migrated four years of history and ran both systems in parallel for a month.

Problem

An architecture practice was losing hours daily to render times and crashes on ageing machines. A full replacement risked stopping billable work for a week.

What we did

Specified two workstation classes against their actual project files, assembled and burn-in tested in-house, then deployed eight machines per weekend with data migrated ahead of each cutover.

A warehouse network that stopped dropping scanners

Problem

Handheld scanners disconnected constantly across a 40,000 sq ft warehouse. Three earlier "fixes" had added more consumer access points to a flat, unsegmented network.

What we did

Ran a site survey, re-cabled to a managed core switch, installed positioned enterprise access points with roaming, and split traffic into VLANs for operations, office and guest.

A backup that had never actually been tested

Problem

A 60-person firm believed it had nightly backups. The job had been failing silently for seven months, and nobody had ever attempted a restore.

What we did

Rebuilt backup on a 3-2-1 model with an onsite appliance and encrypted offsite copy, added monitored alerting, and now run a documented quarterly restore drill.

Connecting orders, accounts and dispatch

Problem

Orders arrived by email, were re-typed into accounting, then re-typed again into a dispatch sheet. Roughly one in twenty had a transcription error somewhere along the chain.

What we did

Built an order intake portal with validation, integrated it to the existing accounting package by API, and generated dispatch documents automatically from the confirmed order.

From reactive callouts to a planned AMC

Problem

A diagnostics chain called a technician only when something broke. Costs were unpredictable, and equipment failures repeatedly interrupted patient appointments.

What we did

Audited every site, built an asset register with warranty dates, moved them to a comprehensive AMC with scheduled preventive visits and held spare units for same-day swap.
